Changes in Data Protection Rules and arrangements – May 2018
Big changes are being made in the Data Protection Law from 25th May 2018. They are designed to make the holding of personal information about someone more transparent and accountable.
To this end we have to explain what information we hold about you, who processes it and upon what legal grounds, in order to deliver to you services you have signed up to.
This will be slightly different depending on whether you are a member of Friends of the Forum, signed up to our mailing list or simply registered on our website for purchasing tickets online.
All of the data we hold has been provided by you.
Data held may include: Name, address, email address, telephone number, patron number, details of films booked, and membership history.
The data is held on servers belonging to Savoy Systems Ltd who process bookings, voucher sales and membership on our behalf. We are the data controllers.
Data is held for three groups of patrons:
1. Members of Friends of the Forum
Processing of information held is carried out under the contract between us to enable us to deliver Friends' membership benefits.
Data is also processed by us for our legitimate interests in audience research and programme planning and marketing.
No credit card or payment details are retained beyond the actual seat booking process which may involve card processing outside UK or EU.
2. Patrons on our mailing list
The only differences from the information relating to Friends above are that, as there is no contract between us, your data is processed on the basis of your consent and our legitimate interests in audience research and programme planning and marketing.
The mailing list consists of those people who have signed up to it on line or in person or have bought tickets to the cinema and created an account on our website.
You have the right to withdraw from the mailing list at any time by using the unsubscribe option. To withdraw please click unsubscribe on the regular email, alter your preferences in your online account or complete the preferences form on the website and your details will be removed from our mailing list immediately.
3. Patrons who have registered when making on line bookings
We also hold information as above on people who have created an online account who have opted out of receiving our regular mailings. Your data is processed on the basis of your consent and our legitimate interests in audience research and programme planning.
Please remember there is always the option to book seats on line without opening an account and also in person and phone at the box office.
Inspection and correction of your data
You are entitled to ask us to provide details of all information we hold and to ask us to correct it at any time. We have to provide this within a month and it will be supplied normally in an electronic format so you can use the information again with another supplier if you wish.
Deletion of your data
You are also entitled to ask for your data to be removed from all servers, backups and archives.
If, as a current Friend, you do this then we will not be able to apply any further membership discounts and your membership will terminate.
We are not allowed to keep your data unnecessarily have a general policy relating to automatic deletion of data following periods of inactivity.
1) Where you have not logged in online for at least 24 months,
2) Where you have not bought a ticket for at least 24 months, and
3) Your most recent membership expired at least 12 months ago

Processing of your data
We will act as processors from time to time in relation to audience development and marketing using analytical tools.
Ticket sales and membership processing are carried out on our behalf by and through Savoy Systems Ltd who also keep your data for us. They may help us with audience development and market research as well.
